For recruiters, email communication remains an indispensable tool to reach out to potential candidates. But what’s the use if the emails never see the light of an inbox? High deliverability rates are crucial to ensure your effort doesn’t end up in the dreaded spam folder. Here’s how to master the art of email deliverability in recruitment:

  1. Understand Email Deliverability:

At its core, email deliverability refers to the likelihood of your email reaching the recipient’s inbox and not getting blocked by spam filters. It’s not just about sending emails; it’s about them being received, opened, and acted upon.

  1. Keep Your Email List Clean:

A high bounce rate, resulting from invalid email addresses, can harm your sender’s reputation. Regularly prune your list to remove any addresses that bounce repeatedly. Use verification tools to ensure all email addresses are valid before hitting send.

  1. Avoid Spammy Content:

There are specific keywords and phrases, like “Congratulations, you’ve won!”, which trigger spam filters. Craft your content carefully, ensuring it’s relevant and free from spammy terms. For recruiters, it’s essential to personalize the content, so the candidate knows the mail is meant for them.

  1. Encourage Engagement:

ISPs (Internet Service Providers) monitor user engagement as a metric to judge an email’s relevance. Encourage candidates to reply, click on links, or even whitelist your address. High engagement rates improve deliverability over time.

  1. Opt for Double Opt-in:

While this might seem counterintuitive for recruiters, having potential candidates confirm their interest in receiving emails (maybe updates on job listings) can drastically improve deliverability. This approach ensures that your recipients genuinely want to hear from you.

  1. Authenticate Your Emails:

Use tools and protocols like SPF (Sender Policy Framework), DKIM (DomainKeys Identified Mail), and DMARC (Domain-based Message Authentication, Reporting & Conformance) to authenticate your emails. This lets ISPs know your emails are legitimate and not phishing attempts.

  1. Maintain a Consistent Sending Volume:

Massive and sporadic email blasts can raise red flags. If you’re reaching out to a large number of candidates, consider staggering your sends over a period, or using segmented lists based on criteria like job roles or experience levels.

  1. Keep an Eye on Feedback Loops:

Some ISPs provide feedback loops where they share information about why emails might be marked as spam by recipients. By subscribing to these, you can gain insights into potential issues and adjust accordingly.

  1. Optimize for Mobile:

A significant number of emails are opened on mobile devices. Ensure your emails are mobile-friendly so that they look and function perfectly irrespective of the device used.

  1. Provide a Clear Unsubscribe Option:

Counterintuitive? Perhaps. However, allowing candidates an easy way out can enhance trust. And if they choose to opt out, respect that choice immediately. It can save your reputation in the long run.

For recruiters, email is more than just a communication channel—it’s a lifeline to potential candidates. Ensuring high deliverability isn’t just a technical endeavor; it’s about fostering trust, relevance, and genuine human connections. By respecting your recipients, personalizing your outreach, and staying updated on best practices, you can ensure that your emails always find their mark.
